Association accounting
Journal, bank reconciliation, cash, inventory, balance sheet and year-end closing: your association’s cash accounting.
The CMS with a built-in encrypted database
Journal, bank reconciliation, cash, inventory, balance sheet and year-end closing: your association’s cash accounting.
Cash accounting for an association, right in your site administration: income and expense entries, supporting documents, bank reconciliation, cash counts, inventory, balance sheet and year-end closing. For the treasurer, not for visitors.
Income, expenses and transfers between cash box, account and savings, with a continuous document number, categories, filters and search.
An entry is never deleted: you correct it (reason required, previous version kept) or cancel it. Documents go to the bin and can be restored.
Reconciliation with the difference computed for you, cash counts compared with the theoretical balance, your bank statements archived month by month.
PDF balance sheet, audit pack (ZIP with the journal and every document) for the auditor, year-end closing with a fingerprint of the balance sheet.
Enter in seconds: direction, date, account, category, amount, label, third party, payment method and supporting document. The balance of every cash box and account is always in view; ticked entries and entries carrying a document are spotted at a glance.

You get the bank statement: enter its balance, tick the entries that appear on it, the module computes the difference. It must be zero. What is left to tick is flagged, and closing warns you as long as something is off.

The position at the date of your choice: income and expenses by category, result, balances, reconciliations. Download the PDF balance sheet, the audit pack for the auditor, or export to Excel and CSV. Closing is final: the next year is created with the closing balances.

| Area | Features |
|---|---|
| Financial years | One year per period, cash accounts and categories per year, closing balances carried to the opening of the next. |
| Entries | Income, expense, transfer; continuous R-/D-/T- numbers never reused; correction with reason and history; cancellation; PDF or image documents. |
| Bank and cash | Reconciliation per statement with difference, separate ticking of both sides of a transfer, cash counts, archived bank statements with bin. |
| Inventory | Equipment bought, available or removed (with reason), linked to the matching expense; stock is carried over. No depreciation: a simple follow-up. |
| Outputs | PDF balance sheet, audit pack ZIP, Excel and CSV journal, summary; closing balance sheet kept with its SHA-256 fingerprint. |
| Security | Three separate rights (entry, balance sheet and closing, reference data and purge), two of them sensitive; every action token-protected; documents stored out of reach of the web; audit log. |
| Independent | No link with membership, invoicing or the shop: a standalone module, administration only, entirely in the built-in database. |
It is cash accounting (income, expenses, balances), suitable for most small and medium associations. It is not double-entry accounting software with a chart of accounts: if your association must use one, or your accountant requires it, use that tool and keep this module as a cash and bank journal. Have your set-up validated by your treasurer or accountant.
